QUESTION BANKING - Frequently Asked Questions

Q: What kind of question formats can I import?

A: We accept both tab delimited and RTF question import formats. Additionally, we offer several filters which allow for the importing of question files from various outside question banks, including Elsevier/Parscore, Moodle, and LXR. We also accept .dat and .xml type files. Please consult with your Customer Success Consultant or Account Manager in order to determine if we have a filter that accommodates your specific question file format.

Q: Can I import images when importing my questions?

A: Images and other attachments cannot be imported. The recommended course of action is to import the bare question and then visit the question in the portal to add the attachment. For more information on adding attachments at the question or assessment level, check out this Quick Reference Guide.

Q: Can I delete questions from the system?

A: Questions cannot be deleted once they have been used on an assessment. We suggest creating an "Archive" question folder and having your Key Administrator restrict the viewing rights of this folder so that no faculty members can view, edit or use these questions.

Q: Can I create matching questions?

A: Yes, matching questions can be manually created (not imported). Please reference our Quick Reference Guide for detailed instructions. If you need further assistance formatting matching questions, please consult with your Customer Success Consultant or Account Manager.

Q: Why do my questions show up differently on the portal than they did in my source document?

A: When copying text from an outside medium into ExamSoft's online portal, it is important to take care that any undesired and unsupported formatting is removed. Depending on the version of browser you are using to view the online interface, some formatting may not show up in your view, but may still actually be tied to the text that you have pasted. Pasting your questions as plain text is a best practice. Also be sure to preview your assessments prior to delivering it to your students to catch anything you may have missed when creating your questions.

Q: Why aren't my Categories showing up in a consistent order on different questions?

A: Categories appear in the order in which the categories were added to the questions. If using Bulk edit for an approved question, there is no particular order as to how the category is added.

Q: We use an LMS with a specific exam format that is an RTF. Can I use that same file in ExamSoft’s RTF importer?

A: Not all RTF files are created equally. ExamSoft requires a specific formatting style in order for your questions to be imported successfully. Our RTF Import Formatting Guidelines explains the formatting rules required for import into ExamSoft.

Q: Why can I not see certain questions when attempting to add questions to an assessment?

A: Questions must be in “Approved” status in order to be added to an assessment. If a user does not see a question when attempting to add items to an assessment, they must go back to the Questions tab, locate the desired question, and click on the “Approve” button in order to move the question out of “Draft” mode and ensure that it is available for addition. It is important to note that a user must have “Approval” level access rights to the corresponding question folder in order to for them to complete this task.

Q: What is the difference between ‘Draft’ and ‘Approved’ status?

A: A draft question is one that is not ready to be used in an assessment. A draft question can be changed and saved in order to make necessary changes. An approved question is ready to be used in an assessment. Once a draft question is finalized, it can be approved for use on the Assessment’s page. You will find that the the majority of the question’s fields will lock when it is approved and it will be ready to accumulate performance and assessment data after it is used in an exam. It is also important to note that only approved questions may be added to assessments.

Q: How do I edit an approved question?

A: An approved question can be edited by making a new revision which will begin to accumulate its own line of performance and assessment data when used in an exam. While you will be able to access prior revisions, only the latest revision can be used in an exam. Q: When delivering a randomized question assessment, is there a way to make questions appear together in a vignette?

A: Absolutely! Users can create a vignette of questions by assigning individual questions to a group. Creating a group of questions will ensure that questions are grouped together in assessments. A question group is created in the question bank when entering a question into the system, using the “Group” field. Questions assigned to the same group name will remain together only when an assessment is set to randomize the sequence of questions.
